About the project

CacheVoice is an AI receptionist built for HVAC and service businesses where unanswered calls can quickly become lost appointments and lost revenue. It answers calls around the clock, understands what the caller needs, responds to common questions, books or reschedules appointments, and routes urgent conversations to a real person.

‍

Each implementation is configured around the business’s services, operating hours, scheduling rules, customer information, and escalation requirements. The agent is designed to sound natural rather than behave like a rigid phone menu. It provides after-hours and overflow coverage while ensuring staff remain involved whenever a call requires human judgment, authority, or sensitive customer support.

Exploration

The finished experience keeps the business available during busy periods, overflow, and after hours. Callers receive immediate help, while employees only step in when the conversation genuinely requires their judgment or authority.

Creation

We mapped the calls service businesses receive most often, from new bookings and rescheduling to routine questions and urgent issues. The focus was understanding where automation helps and where a person must step in.

Implementation

The finished experience keeps the business available during busy periods, overflow, and after hours. Callers receive immediate help, while employees only step in when the conversation genuinely requires their judgment or authority.

Investigation

We tested interruptions, unclear requests, background noise, unexpected questions, and calls that needed immediate escalation. These scenarios helped refine conversation flow, response boundaries, and the handoff between AI and human staff.

Execution

The finished experience keeps the business available during busy periods, overflow, and after hours. Callers receive immediate help, while employees only step in when the conversation genuinely requires their judgment or authority.

Inquiry

The central question was straightforward: what happens to high-intent callers when nobody can answer? CacheVoice was built to turn those missed moments into booked appointments, captured inquiries, and correctly routed conversations.

Research

We reviewed service-business call patterns, voice latency, scheduling requirements, caller intent, and escalation behavior. That research informed an agent designed around real phone conversations rather than a rigid script or menu.
