The AI receptionist that picks up every time.
Missed calls turn into missed jobs fast. CacheVoice answers 24/7, books and reschedules appointments, handles common questions, recognizes new and existing customers, and routes urgent calls to the right person. It sounds natural, works after hours and during busy periods, and fits the way HVAC and service businesses actually operate.

About the project
CacheVoice is an AI receptionist designed for HVAC and service businesses where an unanswered call can quickly become a lost customer. It answers calls around the clock, understands why someone is calling, responds to common questions, books or reschedules appointments, and transfers urgent conversations to the right person.
Each setup is configured around the company’s services, operating hours, scheduling rules, customer information, and escalation requirements. The goal is not simply to answer the phone it is to help the caller complete the next step while keeping a human available whenever judgment or authority is required.

Discovery
Each CacheVoice implementation is configured around the individual business instead of using one generic script for every company. Services, hours, booking rules, FAQs, escalation contacts, and integrations are reviewed before launch.
Once deployed, the agent can support regular calls, after-hours coverage, and overflow during busy periods
Product Design
CacheVoice was designed to feel like a capable receptionist rather than a rigid automated phone menu. Callers can explain what they need naturally, receive relevant answers, and move through the conversation without pressing numbered options or repeating themselves.
The experience is tailored around each company’s terminology, services, operating rules, and preferred customer journey.
System Architecture
The voice layer connects with phone infrastructure, business knowledge, scheduling workflows, customer records, and internal notification systems. The AI interprets the conversation, while reliable software handles actions such as appointment creation, data updates, call routing, and alerts.
This combination allows the agent to communicate naturally while keeping important business actions controlled and structured.

Testing & Safeguards
We test interruptions, unclear requests, background noise, unexpected questions, unavailable appointment slots, and callers who need urgent assistance. Escalation rules ensure the agent transfers or flags conversations it should not handle alone.
Fallback behavior and human handoffs are built into the experience so the system does not force callers through automation when a real person is needed.

Use Cases
CacheVoice can support inbound call handling, appointment booking, rescheduling, lead qualification, customer identification, common service questions, after-hours coverage, overflow calls, and urgent call routing.
It is particularly useful for HVAC and service businesses where phone calls are directly connected to new jobs, appointments, and customer retention.
Ongoing Development
CacheVoice continues to improve as new call scenarios, integrations, and business requirements emerge. Conversation data and real-world usage help identify where responses, routing, and workflow logic can be refined.
The product is designed to evolve with each business rather than remain limited to its original setup.
